# Managing Candidate Attachments and Notes in Connekt

> Upload files, write rich-text notes with @mentions, and understand the difference between the Activity tab and the read-only History audit trail.

Every candidate record in Connekt has dedicated spaces for documents, notes, logged activity, and a system-generated history. Knowing which tab to use — and why — helps your team keep clean, accurate records and makes it easy for anyone to pick up where another recruiter left off. Attachments store the files, Notes capture qualitative context, Activity tracks your outreach, and History gives you an immutable audit trail.

## Uploading Attachments

Store resumes, cover letters, portfolios, assessments, and any other files directly on a candidate's profile.

<Steps>
  <Step title="Open the Attachments tab">
    Open the candidate record and click the **Attachments** tab.
  </Step>

  <Step title="Upload your file">
    Click **Upload** or drag a file directly into the upload area. Any file type is supported — PDF, DOCX, images, spreadsheets, and more.
  </Step>

  <Step title="Confirm the upload">
    The file appears in the list with its name, upload date, and the name of the person who uploaded it.
  </Step>

  <Step title="Preview or download">
    Click any file in the list to open a preview or download it to your device.
  </Step>
</Steps>

<Note>
  The maximum file size is **25 MB per file**. There is no limit on the number of files you can attach to a single candidate record. For files larger than 25 MB, consider linking to a cloud storage location in a Note instead.
</Note>

## Adding Notes

Notes are the place for qualitative context — sourcing background, interview impressions, candidate preferences, or anything else that helps your team make better decisions.

<Steps>
  <Step title="Open the Notes tab">
    Open the candidate record and click the **Notes** tab.
  </Step>

  <Step title="Create a new note">
    Click **Add Note**. The rich text editor opens, giving you formatting options like bold, lists, and links.
  </Step>

  <Step title="Write your note">
    Type your content. Use formatting to make longer notes easy to scan — bullet lists work well for summarising interview feedback.
  </Step>

  <Step title="@mention a team member (optional)">
    Type **@** followed by a team member's name to tag them in the note. They'll receive an in-app notification so they see it promptly.
  </Step>

  <Step title="Save the note">
    Click **Save**. The note is timestamped and displays the author's name so everyone knows who wrote it and when.
  </Step>
</Steps>

<Tip>
  Use @mentions to hand off candidates between team members — for example, "@Sarah ready for your call, see notes on availability" — so nothing falls through the cracks during shift changes or handovers.
</Tip>

Notes can be deleted by users with the appropriate permissions. If you need to correct or update a note, delete it and create a replacement rather than leaving conflicting information.

## Activity Tab vs. History Tab

Candidate records have two tabs that can look similar at first glance but serve very different purposes:

<Tabs>
  <Tab title="Activity Tab">
    The **Activity** tab is where you log your own outreach and interactions with a candidate.

    * Record calls, emails, meetings, and other touchpoints manually.
    * You can **create, edit, and delete** activity entries here.
    * Use it to keep a running log of all your recruiter-initiated contact so colleagues can see the full engagement picture.

    Think of Activity as your working notes on the relationship — a place your team actively maintains.
  </Tab>

  <Tab title="History Tab">
    The **History** tab is auto-generated by Connekt and is **read-only**.

    * Automatically records status changes, job submissions, placement updates, and pipeline stage movements.
    * Every entry shows who made the change and exactly when it happened.
    * You cannot edit or delete History entries.

    Think of History as your audit trail — a factual, tamper-proof record of everything that has happened to the candidate in your system.
  </Tab>
</Tabs>

<Info>
  Use **Notes** and **Activity** for qualitative context and relationship tracking. Rely on the **History** tab when you need to verify exactly what happened and when — for compliance checks, dispute resolution, or onboarding a new team member onto a candidate's story.
