# Setting Up and Configuring Leave Policies in Connekt

> Create and configure leave policies in Connekt to define entitlements, accrual rules, carryover limits, and pro-rata calculations for your team.

Leave policies control how each leave type works in your workspace — how many days employees receive, how those days accrue over time, what happens to unused days at the end of a period, and any bonus entitlements for long service. Setting these up correctly before assigning them to your team ensures that balances and calculations are accurate from day one.

<Note>
  Creating leave policies requires the **Time Off** feature to be enabled on your Connekt plan, plus system administration permission.
</Note>

## Creating a leave policy

<Steps>
  <Step title="Open Policy Configurations">
    Go to **Settings → Leave Policies → Policy Configurations**.
  </Step>

  <Step title="Start a new policy">
    Click **Create Policy Configuration**.
  </Step>

  <Step title="Select the leave type">
    Choose the type of leave this policy applies to: **Annual Leave**, **Birthday Leave**, **Personal Day**, or **Public Holiday**.
  </Step>

  <Step title="Name the policy">
    Give the policy a clear, descriptive name — for example, **Annual Leave — Standard** or **Annual Leave — Senior Staff**. This name will appear when assigning the policy to users.
  </Step>

  <Step title="Configure the policy options">
    Set up each of the following options according to your organisation's leave rules:

    | Option                            | What it controls                                                                                                                      |
    | --------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------- |
    | **Initial days granted per year** | The total entitlement for a full period (e.g. 20 days). |
    | **Accrual period** | How the entitlement period is measured: **Anniversary** (based on each employee's start date), **Calendar Year**, or **Fiscal Year**. |
    | **Carryover** | The maximum number of unused days that roll over to the next period. Set to **0** to prevent any carryover. |
    | **Expiry** | If carryover is allowed, set when those carried-over days expire (e.g. 3 months into the new period). |
    | **Pro-rata** | Enable this to automatically calculate a partial entitlement for employees who join part-way through a period. |
    | **Bonus days** | Grant additional days once an employee reaches a set number of years of service (for example, +2 days after 5 years). |
  </Step>

  <Step title="Save the policy">
    Click **Save Policy**.
  </Step>
</Steps>

## Assigning the policy to users

Once your policy is saved, you need to assign it to the relevant team members before their balances are calculated.

1. From the policy, choose how to assign it:
   * **Target a specific region or country** to apply the policy to users in that location.
   * Click **Setup All Users** to apply the policy workspace-wide.
2. Confirm the assignment.

<Warning>
  Policies take effect immediately on assignment. Existing leave balances are **not** retroactively adjusted — if you need to correct a balance after assigning a policy, you'll need to update it manually.
</Warning>

<Tip>
  Create separate policy configurations for different employee groups if your entitlements vary — for example, one policy for standard staff and another for senior employees with additional leave days.
</Tip>
