Contacts are the individuals you work with at your client companies — hiring managers, HR directors, procurement leads, and anyone else involved in the recruitment process. Keeping contact records up to date means your whole team has instant context on who to reach out to and what’s been discussed.

Creating a contact

Open the Contacts section

Go to Contacts in the main navigation and click Create.

Fill in the contact's details

Enter the contact’s information:
  • Name (required) — the only mandatory field.
  • Email (optional) — used for communication and email sync.
  • Phone (optional) — mobile or direct line.
  • Job title (optional) — helps clarify their role in the hiring process.

Link to a company (optional)

Use the Company field to associate this contact with an existing company record. You can skip this at creation and set it later if needed.

Save the record

Click Save. The contact record is created and you’re taken to its detail page.

Linking a contact to a company

You can connect a contact to a company at any point — during creation or afterwards.
  • At creation — select the company from the Company field on the creation form.
  • After creation — open the contact record, click Edit, then select or update the Company field and save.

Setting a primary contact

Each company can have one primary contact — the go-to person whose name appears prominently on the company profile card. There are two ways to set this, depending on where you’re working. From the contact record:

Open the contact record

Navigate to the contact you want to make primary.

Set as primary

Click Set as Primary Contact. The change takes effect immediately.
From the company record:

Open the company record

Navigate to the company and click the Contacts tab.

Select the contact

Find the contact in the list and select Set as Primary from their options.
Each company can only have one primary contact at a time. Setting a new primary automatically removes the designation from the previous one — you don’t need to clear it manually first.

Notes and attachments

Contact records include dedicated tabs for storing qualitative context and supporting documents alongside the contact’s core details.

Notes tab

Record meeting summaries, conversation context, personal preferences, and relationship notes. Notes display the author’s name and timestamp, and you can tag team members with @mentions to notify them of relevant updates.

Attachments tab

Upload signed agreements, NDAs, onboarding forms, or any other documents relevant to your relationship with this contact. Any file type is accepted, up to 25 MB per file.
Use the Notes tab to capture anything from a call or meeting before you forget it — even a brief summary helps future you (and your colleagues) pick up the relationship seamlessly.
