Placements have their own status lifecycle, separate from submission statuses, and payment is tracked as a further independent status. Keeping both up to date gives you an accurate view of confirmed hires and outstanding revenue across your team.

Placement Statuses

Placement statuses reflect what’s happening with the candidate’s start and tenure in the role.

Starting Soon

The placement has been created but the candidate’s start date hasn’t arrived yet.

Already Started

The candidate has started in the role.

Backed Out Before Start

The candidate or client backed out before the start date.

Backed Out During Probation

The placement ended during the probation period after the candidate had already started.

How to Update Placement Status

1

Open the Placement record

Navigate to the placement you need to update.
2

Click the current status

Click the status indicator displayed on the record.
3

Select the new status

Choose the appropriate status from the options shown.
4

Confirm the change

Confirm the update to apply it.
Status changes are logged in the placement’s activity timeline with a timestamp, so you always have a full record of how a placement progressed.

Payment Statuses

Payment is tracked separately from placement status. The payment status tells you where things stand with invoicing and collection for each placement fee.

How to Update Payment Status

1

Go to the Placements list

Navigate to the Placements section in the main navigation.
2

Find the placement

Locate the placement you want to update in the list.
3

Click the payment status

Find the payment status column on the placement’s row and click it.
4

Select the new status

Choose the new payment status from the dropdown.
Use the payment status column to filter the Placements list for outstanding invoices. Filtering by Invoice Sent or Overdue gives you an instant view of what needs chasing — useful for weekly revenue reviews.
